Update to the Alumni Email Service

We are pleased to share an update on key decisions agreed at UEB on the 12 August concerning the Alumni Email service that was due to be discontinued on the 30 September 2025.

The original decision to withdraw the service was based on low levels of active use and concerns about safeguarding personal data and protecting the University’s cyber security. However, the proposal caused understandable concern among both students and alumni.

We now recognise that wider consultation should have taken place before that decision was made. Over recent months, we have listened carefully to feedback from current students and alumni, and have worked closely with SUSU, the Office of Development and Alumni Relations (ODAR), and the Doctoral College. We held a series of student consultation sessions in June/July with SUSU, following an “All student vote” in May.

As a result of this feedback, the following decisions were made:

  • No alumni email accounts will be closed in September 2025.
  • Instead, a two-year pilot scheme will begin. From this date, all this summer’s new alumni and our current students (when they graduate or leave the University) will retain their University email address, in the form of an alumni account, for one year, with the option to extend for a further year in September 2026.
  • Alumni who already hold an account will also be included in the pilot. They will shortly be contacted with the option to opt in and retain their account until September 2026, with the possibility of a further year after that.

In addition, we will work with the Doctoral College and the Student Communications team to improve the information provided about email accounts when students arrive and leave the University, so that the process is clearer and avoids confusion.

Safeguarding alumni data and maintaining the University’s cyber security will remain our top priority. We will communicate the outcome of this review and any next steps in advance of the pilot’s conclusion.
